General Administrator

A fantastic opportunity has arisen for a volunteer General Administrator for Borderline Arts. Your role will be to carry out administrative tasks in order to ensure Borderline meets its aims and objectives.

 


 

General Administrator:

  • Is the first point of contact for all those who contact Borderline Arts.

  • Supports the administrative function of the charity.

They will be passionate about using the arts to raise awareness of and reduce stigma, and will be a vital part of our exciting and creative team.

The General Administrator will:

  • Check Borderline Arts emails on Tuesdays and Fridays.

  • Answer emails you can and forward others to the relevant person.

  • Make enquiries through phone calls and emails etc, as requested by Borderline Arts staff.

  • Typing.

  • Participate in planning and running events as directed by the Borderline Arts Founder/Chairperson.

  • Organise and update information on database applications/spreadsheets (monitoring number of participants, volunteer info, feedback from events, volunteer hours etc).

  • Organise folders/files/mail (online and paper).

  • Work with our Secretary to ensure that Borderline Arts adheres to data protection, health and safety and other workplace legislation.

  • Contact papers/magazines/TV/Journals etc to request coverage of events/activities/plans for Borderline Arts.

  • Handle petit cash and pass on receipts/cash to the Treasurer.

  • Complete ad hoc requests from the Borderline Arts Founder/Chairperson in a timely manner.

  • Be accountable to the Borderline Arts Volunteer Coordinator.

  • Work closely with the Borderline Arts Founder as well as other members of staff.

Knowledge and Skills Required

Ideally a General Administrator is someone who:

  • Has strong administrative skills.

  • Is flexible.

  • Is highly motivated and able to work autonomously.

  • Is willing to do menial or routine tasks.

  • Can communicate effectively and has excellent interpersonal skills.

  • Has the ability to work well in a team.

  • Ensures they are well informed of all organisation activities.

  • Ensure they are aware of the future directions and plans of Borderline Arts.

  • Has a good working knowledge of what Borderline Arts is all about and what we are fundraising for.

  • Is positive and enthusiastic.

  • Can abide by Borderline Arts policies.

  • Access to internet, email, web, MS Word, MS Excel or equivalent/compatible.

  • Has creative flair and enthusiasm.

  • Has good numeracy skills with the ability to accurately enter and record financial data.

  • Has experience of using basic databases including Windows based software packages.

  • Has the ability to delegate successfully.

  • Is committed to their role.

  • Communicates clearly and regularly with our Volunteer Coordinator (what is happening generally, positive steps forward, if anything is going awry, if you are not able to complete tasks, etc). Communication is key!

Appointment Terms and Time Commitment Required

  • The General Administrator is appointed for a term, which is negotiated between the Volunteer Coordinator and the applicant. The minimum term is 12 months.

  • The estimated time commitment required as the General Administrator of Borderline Arts is 6-8 hours per week. Some weeks will be much less, some much more – so there is a need for flexibility.

  • Attendance at occasional Team Meetings (approx 1 hour in length).

  • At all times, remember that Borderline Arts’ focus is to raise awareness/understanding of and reduce stigma surrounding BPD, using the arts – ensure whatever you are doing is achieving that aim, or leading us to be able to do that more.
