Company Secretary

A fantastic opportunity has arisen for a Volunteer Secretary at Borderline.

You will be responsible for supporting the administration of the organisation, facilitating and supporting committee meetings, and dealing with most of the paperwork. The Secretary also has specific duties in relation to notifying members about Annual General Meetings.


The Secretary is:

  • The role of the secretary is to support the chair by ensuring the smooth functioning of the board. The responsibilities of the secretary will include either doing the following tasks or delegating them to a member of staff and ensuring that they have been carried out.


The Secretary will: 

  • Answer telephone and pass the caller on to the appropriate member of staff. Ensure that enquiries are dealt with and that the appropriate information is relayed.

  • Respond to, sort and file all incoming and outgoing correspondence with - mainly emails, but occasionally snail mail too.

  • Supply and manage office equipment such as stationery and research supplies.

  • Work with the Legal Worker to ensure that Borderline adheres to data protection, health and safety and other workplace legislation.


Knowledge and Skills Required 

Ideally a Secretary is someone who:

  • Has good organisational ability

  • Has some knowledge or experience of business and committee procedures

  • Has had minute-taking experience.

  • Can communicate effectively and has excellent interpersonal skills 

  • Has the ability to work well in a team

  • Ensures they are well informed of all organisation activities

  • Ensure they are aware of the future directions and plans of Borderline

  • Has a good working knowledge of what Borderline is all about 

  • Is positive and enthusiastic 

  • Can abide by borderline policies

  • Access to internet, email, web, MS Word, MS Excel or equivalent/compatible

  • Has creative flair and enthusiasm

  • Has good numeracy skills with the ability to accurately enter and record simple financial data

  • Has experience of using basic databases including Windows based software packages 

  • Is committed to their role

  • Communicates clearly and regularly with the Borderline Chair (what is happening generally, positive steps forward, if anything is going awry, if yourself or team members are not able to complete tasks, etc: Communication is key!


Appointment terms and Time Commitment Required 

  • The Secretary is appointed for a term, which is negotiated between the Chair and the applicant. The minimum term is 12 months.

  • The estimated time commitment required as the Secretary of Borderline is 4 hours per week. Some weeks will be much less, some much more – so there is a need for flexibility.

  • Attendance at monthly Committee Meetings (approx 1 hour in length)

  • At all times, remember that Borderline’s focus is to raise awareness/understanding of and reduce stigma surrounding BPD, using the arts – ensure whatever you are doing is achieving that aim, or leading us to be able to do that more.
